What an AI assistant on WhatsApp is
Published on October 04, 2026
An AI assistant on WhatsApp is a system that sits on your business number and works with text and voice.
It reads questions however customers write them and works from your business content.
It doesn’t use option lists: it reads the message, looks up what it knows and sorts it out.
Most of the time, that means booking, confirming, reminding and keeping a record.
What it does in practice
- Covers customer questions: services, prices, lead times, address and what is included.
- Checks open slots in the calendar and books, reschedules or cancels.
- Confirms and reminds at three points: 72 hours, 24 hours and 2 hours before the appointment.
- Records the chat and what was agreed, so you can read it later.
- Hands over to a person when needed, with the history attached.
The 72-hour reminder usually goes out after the WhatsApp 24-hour window has closed.
So it is sent as a utility template, which Meta charges per message and which does not count toward the 1,000 free service messages of the month (Meta’s charging rules).
What it doesn’t do
It doesn’t answer health questions, decide exceptions or make up answers.
When the content you gave it is missing something, it says it doesn’t know and passes the chat to a person.
That is a choice, not a limitation.
A service that makes up answers about health, money or deadlines creates a bigger problem than the original question.
How it connects to your WhatsApp
There are two ways to connect.
The standard one is Meta’s official API, with the key under your business name.
We use it precisely because the risk of being blocked is lower.
The other, by QR code, puts your number at risk of being blocked, so it is not the standard.
Neither one is risk-free: the number belongs to your business, and so does the responsibility for it.
What we need from you to set it up
A dedicated number, your opening hours, services and prices, and the content that answers the most common questions.
The assistant goes live within 1 business day of receiving the information.
Without content, the assistant has nothing to answer from, and that is where most automation projects get stuck.
Who runs it
Vexor handles setup and operation.
We interview your business, write the routines, put them live and tune them with real use, watching the questions that actually come in during the first two weeks.
You get the assistant ready to go, with no tools to configure.
If you book appointments, serve customers or sell on WhatsApp, this works for you.
What changes from one line of business to another is the wording of each step, and we adjust that for your case.
