How to answer WhatsApp outside business hours

Published on October 04, 2026

After hours, the conversation improves when what your business already knows (price, service, lead time, address and open slots) is written down and available at any hour.

On WhatsApp, a customer who asks at 10 p.m. rarely comes back the next day.

They either get an answer then, or they go to a competitor.

What can be answered without a person

  • Price and what each service includes.
  • Lead time, payment options and cancellation policy.
  • Open slots in the calendar, booked on the spot.
  • Address, parking and directions.
  • The usual questions, with the answers you already wrote.

What cannot

Medical questions, price exceptions, complaints, negotiation and anything that needs your decision.

In these cases the assistant says a person will reply during business hours and leaves everything noted for the next day.

After hours, a service that tries to handle everything on its own does more harm than good.

Replying within 24 hours of the customer’s last message falls inside Meta’s customer service window, when the business can reply freely.

What the customer expects

An answer, not a business hours notice.

Nobody likes an automatic message saying the team will get back tomorrow.

So the scope is written first: what is in the content, what the calendar allows and what goes to a person.

The gain you won’t see in the message count

The gain is not just a fast reply.

It is a calendar that keeps filling up after hours.

It is an open slot offered to someone who asked late.

And it is a phone that stops ringing mid-appointment with the same old questions.

What happens at 11 p.m.

The content you gave it stays available, what the calendar allows gets booked and the rest goes to a person, with the history attached.

Someone who writes at night gets an answer at night, not a business hours notice.
