WhatsApp Business on two phones: how far one number goes

Published on October 11, 2026

The same WhatsApp Business number works on more than one device.

One phone is the primary, and the others join as linked devices.

Meta allows up to four of them on an app account (Meta documentation on the app and the API).

The steps for linking a second phone are in the WhatsApp Help Center.

What each linked device does

They all read and reply to the same chats, with the same business name and photo.

To the customer, every reply comes from the business, because the app doesn’t show which device sent it.

That covers the most common setup: the owner replies from her phone and the front desk replies from the desk computer.

For two or three people who know each other and agree on who takes which chat, it is usually enough.

When four devices stop being enough

The device limit isn’t the only issue.

With several people on one number, problems appear that the app wasn’t built to handle:

  • Two people reply to the same customer at once, with different information.
  • Nobody replies, because everyone assumed someone else saw it.
  • There is no way to tell who agreed to what with the customer last week.
  • Someone who leaves the team keeps every chat on their device until it is unlinked.

The app’s labels and quick replies help with organization, but they don’t split the queue between people.

The option inside the app

Meta offers a Meta Verified subscription for the app.

Its listed features include linking up to 10 devices and agents to one account, plus the verified badge and priority support (WhatsApp Business features, Meta).

Price and availability vary by country, so check Meta’s page before subscribing.

When the number runs on a system

On the official API, the number no longer depends on a phone.

The number runs on a system, and your team works from a dashboard where each chat has an owner, a history and a status.

Device limits no longer apply, because nobody needs the number installed on a phone.

You can also keep the number in both places at once: in the app and on the API.

Meta’s documentation explains what happens then:

  • The app must be on version 2.24.17 or newer.
  • Chats from the last 6 months can be synced, and what is sent on one side shows up on the other.
  • Linked devices are unlinked during onboarding and can be linked again, except WhatsApp for Windows and the watch app.
  • The app’s broadcast lists stop working.
  • If the primary phone sits idle for about 14 days, the link to the API breaks.

Billing is split too.

On the same Meta page, messages sent from the app stay free, and messages sent through the API follow the platform pricing table.

The 24-hour reply window only applies to messages sent through the API.

Where the assistant fits in

Much of what keeps the devices busy is the same question over and over: price, hours, address, any openings tomorrow.

With the assistant covering those right away, your people handle only what truly needs a person, and there is less confusion over who takes each chat.

When a case goes off script, the assistant hands the chat to a person with the history attached.

Who receives it is set during setup: your team’s WhatsApp number, your own, or the dashboard.

Before adding another phone

Answer three questions before linking another device:

  • How many people reply at the busiest time of day, not on average.
  • Who decides what happens when two people pick up the same chat.
  • How many of the day’s messages are questions that need no thought.

If the answer to the third is most of them, another phone just spreads the same queue across more people.

What shortens the queue is removing what never needed a person in the first place.
