WhatsApp Business labels disappeared? They are now called lists

Published on October 13, 2026

In most cases they didn’t disappear: they were renamed and moved.

The WhatsApp Help Center page on labels starts with a note saying labels are now lists, and that lists are rolling out gradually.

That’s why two phones in the same shop can show different screens, one with Labels and the other with Lists, and neither is broken.

Where to look on your phone

Before reinstalling the app or deleting anything, check both places.

If your WhatsApp Business already has lists, you’ll find them under Tools, Lists.

The official page on how to use lists in WhatsApp Business walks you through it: New list, a name (your own or a suggested one), a color if you like, and the people or groups to add.

To add a customer to a list, tap and hold the chat, tap the list icon and choose the list.

If you still see the old version, the steps depend on your phone.

On Android, the labels page says to open Chats, tap the three dots and choose Label chat.

On iPhone, the iOS version of the same page puts labels under Settings, Tools, Labels.

One thing that trips people up: regular WhatsApp also has lists, but there they are just filters for sorting chats, according to the Help Center for the personal app.

If your phone has both apps, check the icon before looking for the menu.

What changed

The idea is the same: tag a chat so you can find it later.

The labels page allows up to 20 labels, and the lists page keeps the limit at up to 20 lists.

If you already used twenty color-coded labels, the switch gives you no extra room.

What lists add, according to the same official page:

  • Default and suggested lists, on top of the ones you create.
  • Groups can be added to a list, not just individual chats.
  • A business broadcast can be sent to every customer on a list.

That last one costs money.

Business broadcasts are charged per delivered message, according to the page on business broadcast pricing.

Lists help you organize for free, but sending to everyone on one is a separate cost.

Automatic lists: read this before turning them on

Some phones show a notice under Tools, Lists saying automatic lists are off.

This is what Meta calls automatic events: according to the official page on automatic events, it tags orders and leads in your chats without you doing anything.

The same page explains what happens when you turn it on:

  • Broadcast lists, disappearing messages, greeting, away messages, and the options to edit and delete messages may be affected.
  • Chats are then managed by a secure Meta service, and customers see a notice about it in the chat.
  • Linked devices are logged out. You can link most of them again afterwards, except WhatsApp for Windows and the WearOS watch app.

You can turn it off at any time, and the features come back.

Still, if your shop relies on the after-hours away message or a Windows computer at the front desk, you need to know this before tapping Turn on, not after.

How to set up lists you’ll keep using

The usual mistake is making one list per product, another per customer mood, another per month, then giving up because nobody remembers which to use.

The WhatsApp for Business guide on staying organized with lists suggests starting with the stages of a sale, with lists like new lead, needs follow-up, paid, shipped or ready for pickup, and support needed.

Only then add lists specific to your business, like repeat customers or custom orders.

The same guide pairs each list with a set of quick replies: people in new lead get price and availability, and people in paid get a confirmation and a timeline.

That way the list tells you what to do with each chat, not just where it is.

In a small shop, the person tagging chats is usually the one answering them, mid-conversation.

On a busy day, tagging is the first thing to slip, and an outdated list is more misleading than having no list.

Where our assistant comes in

Labels and lists rely on someone remembering to tag.

In the service we set up, tagging happens inside the conversation: as the chat runs, the assistant moves the customer to their current stage, and the dashboard shows customers by stage, with each one’s history.

Stages use the names your business uses, not generic ones.

Our standard connection is the official API, not the app, so labels and lists on the phone don’t feed the dashboard.

If you already organize everything in the app and it works for you, there’s no need to switch.

Switching makes sense when your lists are always out of date because nobody has time to tag.

If your labels vanished today, check Tools, Lists first.

If they aren’t there, your phone is still on the old version, and your labels are right where they always were.
