WhatsApp automation for clinics and practices
Published on October 04, 2026
In clinics and private practices, WhatsApp automation handles the admin side of patient service: booking, confirming, reminding, rescheduling and answering anything non-clinical.
What it doesn’t do, and shouldn’t do, is answer health questions.
What to automate
- Booking open slots in the calendar, with the right service and professional.
- Confirming and reminding 72 hours, 24 hours and 2 hours before.
- Rescheduling and cancelling, with the calendar updated right away.
- Answering admin questions: address, parking, health insurance, price, appointment length and what to bring.
- Handing over to a person when the question is clinical, with everything noted.
The 72-hour reminder usually goes out after the WhatsApp 24-hour window has closed.
So it is sent as a utility template, which Meta charges per message and which does not count toward the 1,000 free service messages of the month (Meta’s charging rules).
What not to automate
- Questions about symptoms, diagnosis, medication and test results.
- Guidance before and after a procedure.
- Any answer that needs clinical judgement, even if it looks simple.
- Price exceptions and package negotiation.
In these cases the service says a person will reply and hands over the chat with its history.
After hours, the right move is to say when someone will reply, not to try to answer.
Care with personal data
Health chats are sensitive data, and Brazil’s LGPD treats them that way.
You need a legal basis, a written policy and care with anyone who processes the data, including the messaging platform and the cloud provider.
At a minimum: record only what you need, limit access and delete it when the patient asks.
A prepared team
Automation changes the front desk’s work, and that needs to be agreed.
Who handles what the assistant couldn’t solve?
At what times?
How do they check the history?
Without that, the patient gets served twice, or not at all.
Who handles the clinical side
The admin side runs on the assistant, and the clinical side stays with your team.
The handoff is defined with you during setup: who gets the case, at what times and how they check the chat history.
