How to create an automated service on WhatsApp, step by step

Published on October 04, 2026

There are four ways to set up automated service on WhatsApp.

The right one depends on how much time you have and how much your conversations vary.

Before you pick, gather your material.

Without it, none of the four will work.

What you need to have ready

  • A number just for the business, separate from your personal one.
  • Your opening hours and how long each service takes.
  • Services and prices, with what each one includes.
  • The ten questions customers ask most, with written answers.

Path 1: the built-in WhatsApp Business features

WhatsApp Business has quick replies and an away message.

They can share your hours and address.

It is the cheapest path and the most limited: it can’t see your calendar and doesn’t handle variation.

Path 2: an off-the-shelf chatbot platform

You pay a monthly subscription, build the flow in a dashboard and go live in hours.

It handles menus and fixed answers.

It only knows your business from what you enter, and nobody runs it behind the scenes.

Path 3: build it yourself

You use automation tools like n8n or Make, connected to the official API, with a language model on top.

It is cheap in money and expensive in time.

You need someone who knows integration, hosting, maintenance and API updates.

It makes sense if your business already has that technical skill.

Path 4: hire someone to set it up

Someone writes the content, connects the calendar, puts it live and runs it.

It costs more, but it frees up your time.

It makes sense if you see customer service as part of the business, not a weekend project.

When not to do it

  • When the problem is volume, not process. Automating a mess just multiplies the mess.
  • When the material above doesn’t exist, or lives only in one person’s head.
  • When the expected savings are lower than the monthly cost of the service.

If you’d rather have someone do it

We set it up and run it: number on the official API, content written with you, booking, confirmation, reminders and handoff to a person.

It makes sense if customer service is part of your business and you don’t want to keep a flow alive on your own.
