How to reduce no-shows at the clinic and the salon

Published on October 04, 2026

No-shows drop when customers confirm and get reminded close to the time.

In practice: a confirmation as soon as the slot is booked, and reminders at three points, 72 hours, 24 hours and 2 hours before.

The 72-hour reminder usually goes out after the WhatsApp 24-hour window has closed.

So it is sent as a utility template, which Meta charges per message and which does not count toward the 1,000 free service messages of the month (Meta’s charging rules).

Why three reminders, not one

  • 72 hours before: there is time to reschedule without losing the week, and for you to offer the slot to someone else.
  • 24 hours before: it catches people who forgot and people still deciding.
  • 2 hours before: it covers the day itself, which is when no-shows happen.

A single reminder the day before leaves an empty slot with no time to fill it.

What causes the most no-shows

  • A booking with no confirmation: nobody knows if it is still on.
  • Slow replies: people who wait book somewhere else, and the slot ends up with two owners.
  • Hard rescheduling: people who need to change just don’t show up.
  • A calendar with no record of what was agreed, which turns into confusion at the front desk.

What the assistant does here

It confirms every booking, sends the three reminders, reschedules when the customer asks, cancels when they drop out and shows the open slot to whoever asks next.

When someone cancels, the slot opens up again in the calendar instead of staying held for someone who isn’t coming.

All on WhatsApp, where your customers already are, with no app to install and no menu to learn.

What it doesn’t solve

Reminders don’t replace a no-show policy.

It is fair to charge for a missed slot with no notice, as long as that was agreed beforehand.

Reminders also don’t fix a messy calendar: if the slot doesn’t really exist, the assistant won’t make it up.

Measurement

The records show how many conversations the assistant handled, how many slots were confirmed and how many times it handed over to a person.

With that you can compare no-shows before and after, instead of guessing.

What changes in your calendar

With confirmations and reminders, an empty slot is no longer a surprise.

Cancellations free up the calendar, and whoever asks later finds the open slot.

That is the part we build.

The rest is your no-show policy, written down and agreed beforehand.
