Greeting, away message and quick reply: how far they go
Published on October 06, 2026
Greetings, away messages and quick replies are fixed messages built into WhatsApp Business.
They notify and inform.
They don’t read the question, don’t check the calendar and don’t answer what the customer asked.
What each one does
- The greeting welcomes first-time contacts and points to the next step.
- The away message says nobody is available right now, and when to expect a reply.
- A quick reply stores ready-made text you send when a question comes up again.
All three save time on repeated questions.
And all three are text you wrote in advance.
Where they stop
The greeting is the same for everyone.
It doesn’t change whether the person asked about price, hours or address, because the text never changes.
They don’t read the question.
The trigger is a keyword, a first contact or the time of day, not what the customer wrote.
They don’t check the calendar.
Without the calendar, there are no open slots and no bookings.
They don’t answer what was asked.
They say someone will reply later, and saying that is not the same as answering.
What changes when the service understands the question
The assistant works with the message however it was written and works from your business content: services, prices, lead times, address and open slots.
It checks the calendar, books, confirms, reminds and keeps a record.
A fixed message does none of that.
The difference shows in the reply: it gives the customer the information they wanted, not a request to wait.
When the built-in messages are enough
- A small business, with few kinds of questions and low volume.
- A service that only shares the address, opening hours and a fixed price list.
- When someone replies quickly anyway, and the message just covers the gap.
When they start getting in the way
- A customer asks about a time slot and gets a business hours notice.
- The same text goes out for different questions, and the customer can tell nobody read it.
- The chat needs a booking, and the message books nothing.
- Volume grows and the greeting becomes noise on top of every chat.
What the customer notices
Customers either get the same old text, or an answer to their actual question, with an open slot and the booking done.
When the text repeats, they realize nobody read their message.
When the answer is right, they reply and move on, without wondering whether it was automated.
What to decide first
- Who answers after hours, and whether the away message just notifies or handles what it can.
- What stays automated: the greeting, quick replies or the whole service.
- What goes to a person: medical questions, price exceptions, complaints and negotiation.
- Whether the fixed messages stay alongside the assistant or are retired.
These decisions shape the setup.
