Automatic meeting minutes: what the assistant does on the call
Published on October 05, 2026
A meeting without notes turns into the same meeting again.
Someone jots things down, someone swears they did, and three days later nobody remembers who was supposed to send the quote.
Automatic meeting notes handle the tedious part: something joins the call, records what was said and sends back a clear task list.
Our assistant does this through the Google Meet link, with nothing to install on anyone’s computer.
How the assistant joins the call
The assistant joins as one more participant, using the same link as everyone else.
It turns on the meeting’s built-in captions and follows the conversation from there.
At the end, it sends a summary to your WhatsApp with what was discussed, the decisions and the tasks, each with the name of who owns it.
No screen recording and no extensions.
The meeting runs as usual, with one extra participant listening and taking notes.
What you get after the meeting
- A summary of what was discussed, in plain text.
- The decisions, one per line, as they were agreed.
- The tasks, each with its owner.
- Open questions that carry over to the next meeting.
It all arrives on the same number where the assistant already sits with your customers.
No new dashboard to open and no new password to remember.
What this is not
Automatic notes don’t replace a signed document.
If the meeting creates a formal commitment, a contract, a report or a proposal with a legal deadline, you still need the proper paperwork.
The transcript isn’t perfect word for word either.
It comes from the meeting captions, which work best in English and miss parts when two people talk at once.
For what matters, knowing what was decided and who does what, it works well.
For quoting an exact sentence in a dispute, it won’t do.
And it doesn’t work with Teams.
Right now it is for Google Meet; other platforms need a different setup.
Meetings are personal data
Meetings include names, customers and prices.
So the rule is to tell people: whoever runs the call lets participants know the assistant is taking notes, and the feature is purchased for that purpose.
No notice, no assistant.
It is the same care we take with WhatsApp service, where the chat is also customer data and handling follows Brazil’s LGPD.
When it is worth it
It is worth it when meetings are where decisions get made and then get lost.
A clinic with a weekly team meeting, a firm that agrees scope with clients over calls, a sales team that settles prices and deadlines on Meet: in these cases, ready-made notes save the follow-up call the next day.
If your meeting is with a new customer who asked for a quote, the assistant already handles the other side, with calendar and reminders on WhatsApp.
Both ends stay in one place.
To see it working with your routine, message us on WhatsApp: the assistant will answer, already up and running.
